Almos Digital (Pty) Ltd ("Almos Digital", "we", "us") is committed to protecting your personal information in line with the Protection of Personal Information Act, 4 of 2013 (POPIA). This policy explains what we collect, why, how long we keep it, and how you can request deletion.
1. Who we are
Almos Digital is a digital marketing agency based in South Africa, providing social media management, Meta ads campaigns, funnel building, and related services to small businesses.

2. What personal information we collect
We only collect information that is necessary for the purpose stated at the point of collection. This currently includes:
- Audit request form: Full name, email address, business website URL, and your consent to contact. This is the only point of collection on the public website.
- Client onboarding: Business name, contact details, billing information, and any information you voluntarily share about your marketing activity.
- Communications: Email correspondence and any documents you send us in the course of our engagement.
We do not collect sensitive personal information (POPIA section 26 categories) unless you volunteer it and it is relevant to the service.
3. Why we collect it (purpose)
- Audit request form: To contact you with your free web-presence audit and to follow up on the conversation it starts.
- Client work: To deliver the services you have contracted us for, issue invoices, and maintain a record of campaign decisions.
- Marketing communications: Only if you have given separate, specific consent. We do not add you to any list without your agreement.
4. Legal basis for processing
We process your personal information on the following grounds (POPIA section 11):
- Consent — for audit requests and any marketing communications.
- Contractual necessity — for client engagements, to perform the services you have hired us for.
- Legitimate interest — for internal record-keeping, where it does not override your rights.
5. How we store your information
Personal data collected via the website audit form is stored in a secure database accessible only to Almos Digital staff and authorised systems. We apply the following safeguards:
- Data is encrypted in transit (TLS) and at rest.
- Access is restricted to personnel who need it to perform their role.
- We do not sell, rent, or share your personal information with third parties for their own marketing purposes.
- We use sub-processors only where necessary (e.g., cloud hosting providers). These operate under agreements that require equivalent data protection standards.
6. How long we keep your data
- Audit leads that do not convert to clients: Deleted after 12 months from the date of submission, unless you have asked us to keep you on a list.
- Client records: Retained for 5 years from the end of the engagement, as required for accounting and legal purposes.
- Consent records: Retained as long as the consent remains relevant, or until you withdraw it.
7. Your rights under POPIA
You have the right to:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to correct inaccurate or incomplete information.
- Deletion — request that we delete your personal information, subject to any legal retention obligations.
- Objection — object to us processing your information for direct marketing purposes.
- Withdrawal of consent — withdraw consent at any time where processing is based on consent. Withdrawal does not affect the lawfulness of processing before withdrawal.

8. Cookies and analytics
We use basic analytics to understand which pages are visited and how visitors arrive at the site. We do not use advertising cookies or cross-site tracking cookies. No cookie consent banner is required for privacy-friendly analytics tools that do not set persistent identifiers.
9. International clients
If you are based outside South Africa (for example, in the United Kingdom or European Union), we apply equivalent protections that meet or exceed the GDPR standards applicable in your jurisdiction. We do not transfer personal data to countries without adequate data protection laws.
10. Changes to this policy
We will update this policy when our data processing activities change in a material way. The "Last updated" date at the top of this page will reflect the most recent version. Continued use of the website after a policy change constitutes acceptance of the updated terms.
